Privacy policy
What we collect, why, how long we keep it and how to have it removed. Written to be read rather than generated from a template — if anything here is unclear, ask and we will explain it plainly.

Who we are

We are subject to Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and to Canada's Anti-Spam Legislation (CASL) for commercial electronic messages.
What we collect, and when
When you submit a form. Your name, business name, email address, phone number, the service you selected and whatever you wrote in the message. We also record which page the form was submitted from, the time, and the country your request came from, so we know which page produced the enquiry.
When you visit the site. Standard analytics: pages viewed, approximate location at city level, device type, and how you arrived. This is aggregate reporting, not a profile of you as an individual.
When you call or email. Whatever you tell us, kept in our CRM so that the next conversation does not start from nothing.
We do not collect payment card details on this website. We do not knowingly collect information from anyone under 18.
Why we collect it
- To reply to your enquiry — the reason most of it exists.
- To prepare an audit or proposal, where you have asked for one.
- To understand which pages and campaigns produce enquiries, so we spend our own marketing budget sensibly.
- To keep the site working, secure and reasonably fast.
We do not sell your information. We do not share it with other clients. We do not add you to a marketing list because you filled in a contact form — that requires you to have asked for it separately.
Who else sees it
Only the service providers we use to run the business, and only for that purpose:
- Cloudflare — hosting and delivery of this website.
- Google — analytics and, where you arrived from an ad, conversion measurement.
- Our CRM and automation platforms — storing your enquiry and managing the follow-up.
- Our email provider — sending and receiving correspondence.
Some of these process data outside Canada, including in the United States, which means it may be subject to the laws of those countries. Where a provider offers a Canadian region we use it. We do not transfer your information to anyone else, and we do not use it to train AI models.
Cookies and tracking
This site uses analytics cookies to understand which pages and campaigns produce enquiries. It carries no advertising retargeting pixels, no social media tracking widgets, no chat widget and no third-party scripts loaded on page load. That is a deliberate performance and privacy decision, not an oversight.
You can block cookies in your browser settings. The site works normally without them — nothing here depends on tracking you.
How long we keep it
- Enquiries that did not become a relationship: two years, then deleted.
- Client records: for the length of the engagement and seven years after, which is what Canadian business and tax record-keeping requires.
- Analytics data: retained according to the provider's default, currently 14 months for Google Analytics.
Your rights
Under PIPEDA you can ask us what personal information we hold about you, ask for it to be corrected, ask for it to be deleted, and withdraw consent for us to contact you. Email mat@marketingtech.ca and we will respond within 30 days, which is the statutory limit. There is no charge, and no form to fill in — a plain email is enough.
If you are unhappy with how we handled a request, you can complain to the Office of the Privacy Commissioner of Canada.
Email and CASL
We send commercial email only to people who asked for it or who have an existing business relationship with us, as CASL permits. Every message identifies us and carries a working unsubscribe link that we honour immediately rather than within ten business days. If you unsubscribe and hear from us again, that is a fault — tell us and we will fix it.
Security
Enquiries are transmitted over HTTPS and stored in access-controlled systems with multi-factor authentication required on every account. We keep the number of systems holding your information small, and we do not keep copies in spreadsheets. No system is perfectly secure; if a breach occurred that posed a real risk of significant harm we would notify you and the Privacy Commissioner as PIPEDA requires.
Other websites
This site links to third-party sites including Calendly, Google and LinkedIn. Once you are on those sites their privacy policies apply, not ours.
Changes to this policy
If we change this policy the date at the top changes with it. Material changes will be noted on the page rather than made quietly.
